How Electra handles institutional and student data in the context of campus elections.

Electra is an election management platform operated for universities and colleges. Each institution’s data is isolated logically within the multi-tenant system.

Data we process

  • Institution profile and settings (name, codes, branding, contact details).
  • Staff user accounts (name, email, role, activity status).
  • Student directory fields required for eligibility (e.g. student code, name, faculty, programme).
  • Election configuration, candidates, campaign materials, voting codes (hashed), votes, and result snapshots.
  • Audit and operational logs related to privileged actions.

Purpose

Data is processed solely to run and administer institutional elections: eligibility, voting, campaigns, results, security, and compliance with retention policies set by the institution or platform operators.

Voting secrecy

Ballot selections are not published as a live individual feed. Aggregate turnout and official result snapshots are the public-facing outcomes controlled by institutional policy.

Retention

Institutions configure retention windows. After elections complete, archive and cleanup processes may remove or anonymize operational data according to those settings.

Access

Access is role-based and tenant-scoped. Students authenticate for voting with issued codes rather than long-lived shared passwords.
